The Bed Management Department
The Bed Management Department is built and established on the current work within the organization to address access and flow for all patients across the continuum of health care needs and services. The department sets the framework to underpin further development over the coming years. We aim to continuously enhance the services and optimize transition in care for our valued MNGHA patients across King Abdulaziz Medical City's health care system.
Mission of Bed Management Department
The organizational values guide us at Bed Management Department in delivering the highest and safest healthcare to our patients; our mission is to ensure the most effective and efficient use of inpatient beds and optimized patient flow for all patients to get into the right place at the right time.
Objective of Bed Management Department
Our objective is to create, monitor, and measure patient flow to ensure efficient hospital bed utilization. To establish, implement and monitor effective policies, guidance, and protocol for all hospital admissions, discharges, and transfers. Works with clinical departments to initiate strategies/interventions to improve patient flow and continuously assess hospital beds' demand and capacity ratio.
Bed Management Department Capacity
The Bed Management Department served in population to all National Guard personnel and their eligible dependents and the accepted patients referred from other health care facilities and Emergency Department.
Bed Management Department Scope of Services
The department services operate 24 hours a day, seven days a week, with identified cover for all unit/wards in scope, with dedicated staff for extended hours across 365 days. The primary responsibility of the bed management service are in the areas of Admission Office, Medical Coordination, Discharge Office, Bed Management Command Center, Case Management Program, Advance Case Management Team, Medical Equipment Dispensing Unit, Call Center for Soldiers in Southern Border, and Long Term Care Facilities Services.

Delivers a service 24 hours a day, seven days a week, to ensure efficient and optimal management of bed allocation for all patient admissions across King Abdulaziz Medical City.
Abide and govern the MNGHA Administrative Policies and Procedures. To streamline the management of patient admission and patient transfer to a single room and protect patient valuables across King Abdulaziz Medical City healthcare facilities.
Works collaboratively with Nursing Services to ensure proper and timely patient movement.
Ensures elective admissions and day cases are scheduled in patients' electronic health records.

Medical Coordination
Facilitates patient transfers to and from MNGHA and other healthcare facilities during standard business hours.
Operates under the guidelines of the MNGHA Administrative Policy and Procedures for inter-facility transfers and admissions.
Manages inpatient transfer referrals through the MOH EHALA system as part of the national E-Government Program across Saudi Arabia.

Discharge Office
Deliver a service to enhance the efficiency of the utilization of the Post Discharge Services through our Adult Medical and Surgery Discharge Lounges in coordination between inpatient and outpatient.
Facilitate and coordinate:
- Patients discharged from the hospital within the past 14 days with complex healthcare issues must be addressed immediately.
- Pending services such as a medical report, sick leaves, appointments, etc.
- Patients who are not making the required contact with their primary care physicians shortly after discharge and follow-up care patient needs after leaving the hospital.

Bed Management Command Center
A central hub receives calls 24 hours a day, seven days a week, through dedicated hotline numbers from all clinical units and care providers. To coordinate clinical care to support the clinical staff, ensuring no delay to patient care across King Abdulaziz Medical City.
Reports and escalates issues to the top management through the proper chain of command.
By default, a call center hub for Soldiers in the Southern Border out-of-hours period to coordinate the injured soldiers transferred to the other medical hospital quickly and safely under the South Border Injuries hospitalization program.

Advance Case Management (Bed Blocker) Supportive Services
Deliver service for complex cases of Advance Case Management process to prevent delayed discharge and prolonged Length of Stay.
Identify and collaborate with the business center office for Non-Saudi and Non-Eligible patients to liaise with external sponsors and insurance companies to facilitate the transfer.
Correspond with legal and governmental entities to expedite repatriation for incapacitated non-Saudi, Non-Eligible patients.

Medical Equipment Dispensing Unit
Deliver service on issuing medical equipment to all inpatients within MNGHA and all affiliated facilities requiring home equipment for continued care.
Abide and govern the MNGHA Administrative Policy and Procedures to provide medical equipment, subject to availability, to eligible patients upon the Most Responsible Physician (MRP) recommendation within MNGHA and all affiliated facilities.
Facilitate and coordinate with Health Technology Management and Facilities Maintenance for maintenance, continued assessment, and evaluation of medical equipment related to all admitted patients.
Constant monitoring of the process of dispensing medical equipment from the time the authorization is initiated by the MRP, continuous coordination with the Property Management division and Material Management division to coordinate with the vendor and on an inventory control system.
Coordination with Logistics and Contracts Management for variances arising from stock records and current stock.
Coordinated with Social Services department and Occupational Therapy division to evaluate and process requests for patients requiring medical equipment.

Call Center for Soldiers in Southern Border
The Call Center Office supports National Guard soldiers stationed in the Southern Border region. It provides a range of coordination services including:
- Receiving calls via a dedicated hotline to arrange medical transfers for injured soldiers
- Coordinating and booking outpatient appointments for soldiers and their dependents
- Managing bookings for suspected cancer cases
- Reporting and escalating issues to top management through the official chain of command

Long Term Care Facilities
The Long Term and Extended Care Center facility was established in May 2002 adjacent to King Abdulaziz Medical City Central Region. The Home Health Care Program significantly provides a high medical, psychological, and nursing standard for discharged long-term care patients.
To enhance the level of care for patients who require extended care but do not need to occupy acute hospital beds, a strategic partnership between MNGHA and four (4) private hospital facilities were established for the patient's long-term care. It is an excellent support to our operations in terms of capacity across King Abdulaziz Medical City.
The Bed Management Department's commitment to service plays a vital role in our organizations in Long Term Care Facilities through this care transition coordination to our valued MNGHA patients. Our senior supervisor case management personnel is committed to ensuring effective, timely, and safe transition of care is provided. The patients move swiftly and seamlessly as their needs change in the right place at the right time.
Furthermore, in collaboration with the Department of Medicine Professionals, Nursing Services, and Physiotherapist personnel, the MNGHA management sets the standard of care for long-term ventilated and non-ventilated patients to provide and mandate a multidisciplinary team conducting a regularly scheduled visit.
To facilitate and plan the overall patient care according to the standard of best practices of the healthcare system across King Abdulaziz Medical City with the affiliated four (4) hospital facilities.
